The Children's Hospital Medical Records Become Completely Electronic

Computerized Physician Order Entry (CPOE) officially went live at midnight on March 13th making The Children's Hospital medical records completely electronic. CPOE, Clinical Documentation and the electronic Medical Administration Record, coupled with the Health Information Management (HIM) Department scanning remaining paper documents, completes the work necessary to create a completely electronic medical record.

CPOE is an online ordering system used by physicians to request:

  • procedures
  • medications
  • laboratory tests
  • consults
  • radiology tests
  • nursing actions
  • diets
  • respiratory therapy
  • other tests, therapies and treatments

Physicians are the primary users of CPOE, however under certain circumstances nurses, pharmacists and radiology techs may also enter orders.

Health Information Management stopped creating medical record folders on March 14th and began scanning in all remaining paper documents from inpatient admissions. Any paper documentation remains on the units until discharge. At discharge, Health Information Management scans the record to be available via hyperlink(s) within Epic.

Interesting Statistics…

  • Over 140 Children's Hospital and Epic staff members have been on site supporting users since March 12th.
  • In the first week, 21,365 orders were placed electronically
    • ED entered the most orders - 2,872
    • NICU, PICU and CICU all entered over 1,400 orders each
    • Verbal orders were less than 9% of all orders placed and continue to decrease daily
  • The Command Center handled over 600 calls on the first day, 336 calls on the second day. Calls have continued to come down indicating greater comfort and familiarity with online ordering by our users
  • Over 2150 staff, including physicians, residents and fellows have been trained on CPOE.
